GLOBODOX Field Notification Service (Date based Notification)

Introduction

GLOBODOX can send email notifications to users based on the value of a chosen Date field of a Document Type or Stack Type. For example the Date field can be Invoice Due Date or a Agreement Expiry date or a License Renewal Date. 

Example: 

Suppose you have configured Field Notifications to monitor the License Renewal Date field of documents which have their Document Type set to Licenses. You want GLOBODOX to send you a email reminder whenever it encounters a document where the License Renewal Date is less than 7 days away. Suppose there is a document which has the License Renewal Date set to Nov 20, 2022 then you will start getting a email reminder everyday about this document starting Nov 14, 2022. The reminder will end on Nov 20, 2022.

Configure Field Notification Service

To Configure Field Notification, you will need to specify a few parameters like your DB Name, Entity Name, Field Name, Notification period and Email ID.

To do this  …

  1. Go to the ‘C:\ProgramData\ITAZ\Globodox\Field Notification’ folder. 

  2. Open the ‘fieldnotificationrequest.json’ file with Notepad.

  3. Enter your DB name "database_display_name": "MainDB" (this example uses the MainDB)

  4. Enter your entity name "entity_name": "Agreement". (This example uses the entity name Invoice)

  5. Enter the field name "field_name": "Invoice Due Date". (This example uses the field name Invoice Due Date)

  6. Enter "notification_period_in_days": 7. (This example uses the notification period as 7)

  7. Enter users in "globdoox_users_to_notify": "superadmin", “mike”(Note:-You can enter multiple user names separated by a comma)

  8. Enter email address in "email_addresses_to_notify":“abc@example.com, pqr@example.com” (Note:- You can enter multiple email addresses by separating them by a comma)

  9. Save the file.

  10. GLOBODOX will then start monitoring the specified Document Type or Stack Type (as specified in Entity Name)

FAQ

  1. How to change the Polling Interval for the Field Notification Service?

  • For changing Polling Interval, go to the “C:\Program Files (x86)\Globodox Desktop\Modules\Field Notification Service” folder

  • Double-click on FieldNotificationCtr.exe.

  • Set Login Info Window will be launched.

  • In Set Login Info, change the Polling Interval in minutes .(Note:-By Default value is 1440 min (24 hours).

  • Click on OK

  1. I have changed my superadmin user password. How do I reset it for the Field Notification Service?

  • To reset the login info for Field Notification service, go to the “C:\Program Files (x86)\Globodox Desktop\Modules\Field Notification Service” folder. 

  • Double-click on FieldNotificationCtr.exe.

  • Set Login Info Window will be launched.

  • In the Set Login Info window, enter the new credentials for the superadmin user.

  • Click on OK button.

  • Restart the Field Notification Service.

  1. How to configure Field Notification Service with my own AWS account?

  • To configure Field Notification Service with my own AWS account, go to ‘C:\Program Files (x86)\Globodox Desktop\Modules\ Field Notification Service’ folder.

  • Double-click on FieldNotificationCtr.exe.

  • In the ‘Email Service’ section, select the ‘Use Custom’ option.

  • Enter the values for your own AWS account and click on the Test button.

  • Once the Connection is successful, click on the OK button.


  1. How to send email notification to multiple GLOBODOX users regarding documents being Field Notification?

   

  • Go to the ‘C:\ProgramData\ITAZ\Globodox\Field Notification Service’ folder. 

  • Open the ‘fieldnotificationrequest.json’ file with Notepad

  • Enter email address in ‘email_addresses_to_notify’ as :“abc@example.com, pqr@example.com”  and Save the file.(Note:- You can enter email ids for multiple users by separating them by commas).

  • Open Services, select ‘ITAZ Globodox Field Notification Service' and restart it.


  1. How to stop receiving emails regarding Field Notification Service?

There are 2 ways to ways to stop receiving email notifications.

  • The first way is to stop the Field Notification Service which stop all monitoring and sending of email messages to all users.

  • The second way is to go to the ‘C:\ProgramData\ITAZ\Globodox\Field Notification’ folder and remove the email id from the ‘fieldnotificationrequest.json’ file.

  1. How to restart the Field Notification Service?

    To Restart the Field Notification Service…..

  • Search for Services in the Windows menu

  • Right Click ‘ITAZ Globodox Field Notification Service’ and select Restart.
